One swap fits in your head. Four or five in various stages do not, and that is where most creators lose track: a partner who said yes in March but never got a date, a promo that ran without a tracking link, a great result from a show you cannot remember the name of. Our guide describes the pipeline that creators who scale swaps well tend to keep, with each partner sitting at one of six stages, and this worksheet is that pipeline on a single page. It puts the partner, where they are, what is being traded, when it runs, and what came of it in one row, so a weekly five-minute review is enough to see who needs a nudge and who deserves a second run.

The rows below are examples that show the mix a healthy pipeline usually has, with placeholders where your own figures belong. Ask partners for active numbers rather than media-kit totals, and put the same measure in the audience column every time so rows stay comparable. When you are deciding whether the routine is worth the hours it takes, the Audience Swap Time ROI Calculator in our Tools section turns this log into a cost per subscriber, and our articles on scaling swaps as you grow and on cross-promotion etiquette cover how to keep a growing partner list on good terms.
